📲 Public Surveys

In this article you will learn more about public surveys and how they work.

A public survey is one that does not require the guest's email address to be answered, since it can be entered from a QR code, a link or a tablet.

Public surveys request certain information from the guest to allow entry, these requested fields can be chosen by the hotel (at least two fields must be configured) and are mandatory and optional.


The following information fields are available:

  • First name
  • Last name
  • Reservation Code
  • Guest Code
  • Country
  • Email
  • Check-In
  • Check-Out
  • Mobile Phone/Whatsapp
  • Room

Two of them have special configurations:

  • Check Out field: You can also lock this field to show only the current day's date.
  • Room field: It can be configured to show a list of rooms, this list will show the rooms that have been occupied in the last 7 days.


 

Ways to share a public link:

  • QR: You can request the QR code of your survey to share it through a sign in the public areas of the hotel.
  • Tablet: You can configure a specific link for the tablet, which will be refreshed every time a survey is on hold for a long time or if it has already been answered, this way it will be ready to receive the next guest.
  • Link: A link can be shared, for example via message.

 

When a new public link is created, it can be named with a particular name (RESTAURANT, RECEPTION, ROOM, POOL, SPA, etc) so that the hotel knows where the response comes from.

When a guest responds to the survey from a public link, our system takes the information from the previously requested fields (e.g. check out and room) and searches if this information matches any of the reservations received from the PMS, if the information matches, the survey is associated to the guest and the guest will no longer receive the survey by email.

If the system does not find a reservation that matches the information, it will only display the data entered in the fields. If no name is requested, the survey will remain anonymous.

Our public links allow the hotel the freedom to have more than one survey, for example, the main stay survey plus a Spa, Events, Restaurant, etc. survey, the secondary surveys can use their own links.
